After You’ve Sent an Order#
You’ve placed a purchase order. The vendor got an email. Now what?
Here’s what happens next — and what you can do while you wait.
What the vendor sees#
Your vendor received a link. When they open it, they see the order laid out on a single page — the items, the quantities, the prices. They don’t need a Fillet account. They don’t need to download anything.
From that page, they can do one of two things: confirm the order or decline it.
Watching for a response#
Open the order in Fillet. Near the top, you’ll see a status.
Right after you send it, the status is New — which just means the vendor hasn’t responded yet.
When they do, the status changes:
- Confirmed — the vendor accepted the order.
- Declined — the vendor rejected it.
You don’t need to refresh or check back constantly. The status updates on its own when the vendor responds through the link.
If the email didn’t arrive#
Sometimes the email doesn’t reach the vendor — a typo in the address, a spam filter, a full inbox. Fillet will let you know if delivery failed.
You can find the details in the order’s Send History, which logs every send attempt. If you need to resend, you can do that from the same place.
The order itself doesn’t change when you resend. It’s the same order, the same PO number, the same link. You’re just getting the email through.
If the vendor declines#
A declined order stays in your records. It isn’t deleted — it’s still a record of what you asked for, when, and at what price.
If you need to place a revised order, you start a new one. Each purchase order stands on its own.
Closing it out#
When the order is done — delivered, received, accounted for — you can mark it as Completed. Only you can do this, not the vendor.
Completing an order is a way of saying: this one is finished. It keeps your list clean and your records clear.
Your order is a permanent record now. Whether it was confirmed, declined, or completed, it stays — a line in the history of what you ordered, from whom, and when. The same kind of record you’ll build every time you place an order in Fillet.
